Privacy Policy

1. Who we are

CloudCheckin operates a property management and digital check-in platform ("the Platform") used by hotels, hostels, and other accommodation providers ("Properties"). When you complete a digital check-in, your data is processed both by CloudCheckin and by the Property where you are staying.

2. What data we collect

During web check-in we collect:

• Full name, email address, phone number
• Nationality and home address
• Date of birth
• Identity document type and number (passport, national ID, etc.)
• Estimated arrival time and special requests
• A photo of your identity document (if you choose to upload one)
• IP address and timestamp at the moment of consent

3. Why we collect it

• Legal obligation— most countries require accommodation providers to register guests with local authorities (e.g. Spain's SES, Argentina's Ministerio del Interior, Italy's Alloggiati Web). Your data may be transmitted to government systems as required by law.
• Contract performance — to manage your reservation and provide the services you booked.
• Legitimate interest — to improve safety and security at the property.

4. How long we keep it

Guest registration data is retained for the period required by local law (typically 3–5 years for police registration records). Operational data (reservations, communications) is kept for 2 years after your last stay and then deleted or anonymised.

5. Who we share it with

• The Property where you are staying (they are the data controller for your stay)
• Government authorities, as required by law in the country of the Property
• Infrastructure providers (Supabase for database hosting, Resend for transactional email) — all bound by data processing agreements
• We do not sell your data to third parties

6. Your rights

Depending on your country of residence you may have the right to access, correct, delete, or export your personal data, and to withdraw consent at any time. To exercise these rights, contact us at privacy@cloudcheckin.com.

EU/EEA residents may lodge a complaint with their national data protection authority. Argentine residents may contact the Agencia de Acceso a la Información Pública (AAIP).

7. Cookies

The guest portal uses only essential session cookies required for secure operation. No tracking or advertising cookies are used.
